For a portfolio with Ontario warehouse and office properties, define building maintenance separately from operational-equipment responsibilities at every address. Include local access contacts and loading restrictions in the property register. A shared reporting process is most useful when it preserves those site differences instead of treating every location as interchangeable.
A portfolio can share one approval process without having identical buildings or maintenance schedules. An occupied office, a customer-facing location and an industrial facility may require different access arrangements, equipment coverage and service priorities. Establish a record for each property, then agree on common request information, authorization rules and reporting needs. Start with a defined group of addresses and trades so the process can be reviewed before additional locations are added.
